From time to time we may need to update this Privacy Policy because of changes in regulation/legislation/law, changes in how our services operate, or changes to our company structure etc.

Using the contact for on our website means we will store information about your query for the purposes of introducing you to our services, and monitoring our business. This information will be held for 12 months before it will be deleted unless you request otherwise.

Using our website form will mean providing us with Personal Data such as your name, email address, and any other information you voluntarily disclose to us. This is all stored within the EU on secure servers.

Using our website contact form may also transfer into you becoming a user of our services, please see section 5 or 6 below to view further details around what will happen with your data as a candidate or business.

 

  1. For Candidates

Registering yourself for services with Stock Harvard will result in us storing your Personal Data such as name, email, address, CV, and proof of identification such as a picture of your Passport. This data will be stored till you are successfully placed into a role by us or when you notify us that you no longer want us to hold your data.

We will use your data to perform standard recruitment services such as contacting you about potential job interests, verifying you are eligible for work in the UK, sending your information to potential employers to arrange things like Interviews or introductions together. Whenever your data is passed to a potential employer this will be via a secure private connection.

None of this information will be used for any marketing purposes or passed to any other third parties or alternative recruiters without your explicit consent.

 

  1. For Businesses

Registering to use our services will result in us storing information around you and your business for the purpose of finding candidates to fill your positions. This information will not be shared with any third parties and will not be passed on.

As part of this process we may pass you the contact details of individuals looking to apply for your positions. This information can only be used for the sole purpose of contacting the candidate in relation to the role and for no other purpose. This information cannot be stored after contact has been made unless you have permission from the candidate.

Information around your contact, business, and recruitment needs will not be shared with any third parties or alternative recruiters.

 

  1. Other Use of Your Information

We will never pass or sell your information to any third parties for marketing purposes under any circumstances, we believe heavily in the integrity of our clients and only believe you should be contacted with relevant information.

We may pass your information to third parties for providing the services detailed within this Privacy Policy, if your information is ever considered to be shared with any third parties not already mentioned for fulfilling the processing detailed throughout this Privacy Policy you will be notified formally beforehand and have the ability to object if you wish.

 

  1. Storing Your Personal Data

Your data will never be transferred or stored to any systems based outside of the EU, and will only be stored on secure systems.

We will only ever store data that is a maximum of 12 months old to help maintain accurate record keeping, when data has not been used for a 12-month period it will be deleted or archived from our active records as we believe after this time data will no longer be relevant or required in providing our services. Your data will be archived in circumstances where it is required to be retained under any other EU laws, when this does not apply the data will be deleted.

Any data we hold that has not been accessed within the previous 12 months will be automatically archived or deleted as noted in section 8 above.

Stock Harvard Limited does not use any form of automated decision making with any data we hold or process.

  1. In the event that we sell any or all of our business to the buyer where the data held will be considered as one of our assets.

You have the right to access any information that we hold relating to you. There is no charge for using this service and it can be submitted via email or telephone to the contact details noted on our website.

You also have the right to withdraw your consent, request for all of your information to be deleted, ask us to only use your data for limited purposes or to submit a complaint about how we have handled your data.

All of these requests can be placed by contacting our DPO with 2 matching pieces of information to what we already hold. Without consent to this Privacy Policy we will be unable to provide you with our services.

If you believe we have mishandled your data and would like to complain you can do so by contacting our DPO, they will review your claim and provide you will all the information required. They will respond to your complaint within 2 business days.
